“Let the intern take the meeting notes.” It’s a phrase that recalls a time when the most junior person in the room was tasked with documenting every word spoken in a meeting, nervously hoping they’d capture enough context for a coherent recap. I have been this intern. In a hybrid work environment, filled with back-to-back virtual meetings, who has the time—or bandwidth—to play the role of the note-taker? And more importantly, how can all team members truly collaborate when one is distracted by the need to catch every word? Having worked at Klarna, where 90% of the staff use AI daily, I’ve seen firsthand how AI can be a game-changer for productivity, transforming routine tasks into seamless, efficient processes.

AI in workflows
75% of global knowledge workers use AI according to the 2024 Work Trend Index Annual Report from Microsoft and LinkedIn. Generative AI has become an essential tool for tasks like drafting emails, brainstorming ideas, and finding quick answers.
Yet, according to the same report, 52% of people who use AI at work hesitate to admit using AI for critical work tasks, limiting its potential impact. Embracing AI as a team—starting with transcribing meetings and creating summaries—can shift the focus to real collaboration, enforcing accountability, meaningful engagement and becoming more skilled with AI applications as a team routine.
From my experience, integrating AI into regular workflows has significantly boosted productivity, allowing teams to move beyond routine tasks like data entry and document summarization. This shift enables them to focus on strategic, high-impact initiatives that drive meaningful results.
